People (New Hires Onboarding)

The People section of the system holds all new hire information for each stage of the Onboarding process. Here is an overview of each stage within the System.

People

  • The People view shows all ‘people’ within the system regardless of the stage they are at – Preboarding/Onboarding/Employees or non-starters
  • The ‘People’ are colour coded to visually demonstrate which stage they are currently at

 

Pre-Boarding

  • This is where the Control Panel user manually adds the candidate information and assigns a ‘Pack‘ and ‘Library

 

Onboarding

  • The new hire information has been marked as [Complete]
  • The new hire will receive an email with a link to go onto the Onboarding portal

 

Employees

  • A new hire moves to ‘Employees’ when the start date is reached
  • All tasks should be complete by this stage

 

Non-starters

  • when the New Hire has been added to the system, but does not join the business

 

 

The control panel user can click on any of the filters to display the list:

NOTE: When looking in the [People] page, the colours displayed next to the candidate are the same as these filters for a quick view of where people are within the system

 

Search

System Users can search for people using the [Search] function in the control panel

 

User Permissions:

Users can [Search] for a new hire using the [Search] function – However you will only be able to view a new hires information if you have the correct user permission level.

Users can [View] a new hires information by clicking [View]

 

Only [System Administrator users] and [Super Users] can [Edit] the new hires personal information and associated tasks / libraries

Candidate Records

Each new hire record is broken down into the following sections:

 

Personal Details

The new hires personal details are initially entered into the [Enrol] area, then the information can then be managed in this section

The fields in this section are:

  • Surname*
  • Forename*
  • Address Line 1*
  • Address Line 2*
  • Postcode*
  • Mobile Number
  • Appointed by
  • Mentor*
  • Line Manager*
  • Appointed Date
  • Start Date*
  • Probation End Date*
  • Fixed term End Date*
  • Job Title*
  • Contract Type*
  • Branch Code*
  • Salary Type*
  • Salary*
  • Journey (Head Office)
  • Location*
  • DOB
  • National Insurance Number

*Fields can be used in the Document Task with mail-merge information

These fields can be edited at any time in Pre-boarding, Onboarding

NOTE: If you have either NexGen ATS or Genius ATS and a feed that comes into the Day-One system then IF the DOB and national Insurance information has been added this will automatically be pulled through to the candidate information in Day-One.

 

Customisable Fields

The OB control pane allows you to add  customisable fields to a candidate profile page. To do this, simply supply Genius Group with the dropdown title and options.

These can be freetext or dropdown.

Pack

This view is an overview of the Pack that has been assigned to the new hire, this is a list of individual tasks

 

Library

Users can:

  • Re-assign a pack
  • Override a task
  • View task
