Here are some of the common references throughout the Onboarding system Guide and their meaning….
CONTROL PANEL
The control Panel is the area of the system which allows users to manage each section of the system.
There are three levels of access to the Control Panel which controls what information users can see/edit.
- System Support (The Supplier)
- This user level has access to all areas of the control panel
- System Administrators (Customer Super Users)
- This user level has access to all areas of the control panel
- Super Users – (The Customer)
These users do not have access to the ‘System’ Settings
- Line Managers – (The Customer – restricted view)
These users do not have access to the ‘System’ or ‘Information’ Settings
TASKS
Tasks are ‘actions’ or ‘information’ that your business require all New Hires to complete/understand as part of the recruitment process.
Onboarding has twelve ‘task types’ to support the various requirements for pre-boarding and onboarding.
- Confirm – This task is used to ask the new hire to ‘confirm’ an action or information that has been shared with the new hire
- Custom Form – This task allows you to create custom forms which have mail-merge information for any data already captured in the control panel as well as the ability to ask for other information in the form fields.
- Document – This task allows you to share a document
- Simple Document
- Offer – This is a document task which requires mail-merge information to be added into a new hires specific offer document
- Contract – This is a document task which requires mail-merge information to be added into a new hires specific contractual document
- Equality – This task captures Gender, Marital Status and Date of Birth
- iFrame – This task allows you to share a website via an iFrame (Note you can only share websites that allow this functionality, such as YouTube / Vimeo)
- Link – This task allows you to share a URL link with a new hire to direct them to a specific website
- Personal Details – This task shows the new hire their personal details that are captured in the control panel and update them if they are incorrect
- Professional Bodies – This task captures professional Body information in a DBS (Disclosure and Barring Service) style
- Start Date – This task shares the intended start date with the new hire to ‘confirm’
- Starter Appointment – This task allows the control panel user to create an appointment which can be accepted by the new hire
- Upload – This request that the new hire uploads a single item (Doc. Doc.x, JPEG, PNG)
- Upload Multiple This request that the new hire uploads multiple items (Doc. Doc.x, JPEG, PNG)
The individual Tasks are added to Packs, which are assigned to new hires
Tasks can be created in Onboarding to support any users with the Onboarding process. Tasks can be assigned to a new hire and a Control Panel user can see when the action/task has been complete in the Control Panel
PACKS
Each role requires a [Pack] to be associated to it. The [Pack] contains information specific to that candidate being Onboarded in the system and should consist of information such as;
Packs are located under the [Information] section and are generated in the system by the Control Panel [Users]
LIBRARY
The Libraries section holds packs of documents and relevant information that the Onboarding candidates need to have access too, such as policies and procedures, guides, leaflets, documents.
Control Panel users can limit ‘who’ can see ‘what’ by selecting the relevant areas
The Libraries are made up of documents that have been added to the Library Books Section
